City Community Tennis Pty Limited (ACN 600 602 364) t/a City Community Tennis (CCT) collects personal information in order to carry out tennis services for you. This policy outlines how we manage that data and the security measures we have in place to protect our community.

Purpose of Collection

• Communicate regarding services, events, and products which might interest you;
• Process payments, tax invoices, and receipts;
• Provide personal information to Tennis Australia or Tennis NSW for sports injury insurance;
• Consider and respond to complaints;
• Comply with laws, regulations, or directions given by regulators and authorities.

Types of Information Collected

When used in this policy, “personal information” has the meaning given to that term in the Privacy Act 1988 (Cth). We may collect:

• First and last name;
• Email address and telephone number;
• Postcode, gender, age, and date of birth;
• Financial and payment information.

Sensitive Information: We only collect sensitive information (such as health details or ethnic origin) where it is reasonably necessary for our functions and you have consented, or we are required by law to do so.

How We Collect and Store Your Information

2026 Security Update & Identity Verification: To ensure the security of our community facilities and prevent unauthorised commercial activity, CCT is introducing Multi-Factor Authentication (MFA) as a mandatory requirement for 2026. Users are required to verify their identity via SMS, Email, or Authenticator applications during profile creation and login sessions. Providing a valid, working mobile number and email address is a condition of maintaining an active account.

We retain information in a secure online tennis management system. We do not store personal information in paper files. All data is stored in Australian data centres.

Security of Our Website and Platforms

The CCT website is protected by SSL security and a CAPTCHA form. The padlock symbol on your browser confirms that data sent between your browser and the server is encrypted.

• MFA Protection: Access to customer profiles is protected by MFA (SMS, Email, or TOTP Authenticator apps) to ensure only the authorised account holder can make bookings.
• Session Integrity: To prevent account sharing and unauthorised automated bookings, our system recognises and limits concurrent active sessions across multiple devices or "incognito" browser windows.
• Payment Security: We do NOT store credit card details. Financial transactions are processed immediately via a secure, encrypted payment gateway directly to the banking system.
• Authorised Access: Customer records are only accessible by authorised CCT staff through a secure portal.

Cookies

We use temporary (session) and permanent cookies to recognise your browser and maintain secure login sessions. Switching off cookies may prevent access to the secure booking platform.

Disclosure of Information

Your information may be disclosed to:

• Employees, contractors, or service providers reasonably necessary to fulfil our obligations;
• Business advisors (lawyers/accountants) to the extent reasonably required;
• Tennis Australia/Tennis NSW for insurance and membership purposes;
• Regulatory authorities if required by law.

Our online platforms do not disclose personal information to third parties or service providers located overseas.

Direct Marketing

We may contact you with marketing communications if you have subscribed to our services. You may opt out at any time by clicking the "unsubscribe" link in our emails or contacting us directly.
